We collect information necessary to provide our services, including:
- Account Information: When you register for an account, we collect your name, email address, and professional credentials.
- Patient Notes: The unstructured text and conversation notes you provide for the purpose of generating SOAP notes. This data may contain PHI.
- Usage Data: We collect information about how you interact with our service to improve functionality and user experience. This does not include the content of your patient notes.
2. Use of Information and HIPAA Compliance
The patient data you provide is used exclusively to generate SOAP notes as requested by you. Our handling of PHI is governed by our commitment to HIPAA compliance:
- Business Associate Agreement (BAA): For covered entities, our services are provided under a BAA that outlines our obligations to protect PHI.
- Data Minimization: We only process the data necessary to perform the service.
- Temporary Processing: Your patient notes are processed in real-time and are NOT stored on our servers after the SOAP note has been generated and delivered to you. The generated SOAP note is your responsibility to manage within your EMR or secure system.
- Security Safeguards: We implement administrative, physical, and technical safeguards to protect PHI from unauthorized access, use, or disclosure. This includes encryption of data in transit and at rest.
3. Data Security
We take the security of your data seriously. All data transmitted to and from our service is encrypted using industry-standard TLS protocols. Access to our systems is strictly controlled and monitored.
4. Your Rights and Choices
You have rights regarding your information. Since we do not permanently store your patient notes, most rights related to data access and modification are managed through your own systems (e.g., your EMR). However, you can manage your account information and communication preferences through your account settings.
